Terms and Conditions

The client(s)” shall be those persons defined in the booking form. In the following terms & conditions “the photographer” shall mean Zoe Meadows trading as Zoe Meadows Photography. It is mutually agreed that the following terms of agreement form an integral part of this contract and cannot be varied in any way by the client(s) unless such conditions are expressly agreed by the photographer in writing. By booking with the photographer you agree to the below Terms and Conditions.

All copyright of photographic images belongs to the photographer.


Display

The client(s) hereby allow(s) the photographer to display any photographic images covered by this contract and to generally promote the business in advertising, brochures, magazine articles, calendars, websites, photo competitions, sample albums, commercial photography,..etc.


Use of your images on the web

When uploading your images on the web (Social Media) you will be required to only use the small resolution digital image with logo. You are not permitted to remove the logo or edit the images (changing colours, or removing part of the image). High resolution images (JPEG) without logo are for print only use. You cannot enter any of your images in competition (online or otherwise). Prints – When purchasing prints, you cannot scan the print into another print or a digital image. You can purchase the digital images separately.


Equine Session

If you choose, at your own discretion, to ride your horse without a riding hat, you do so entirely at your own risk. The photographer accepts no responsibility for injury or damage caused to horse, rider, property or any individual before, during or after the photo shoot.


Portrait session – General

It is your responsibility to tell the photographer if you feel that the location or situation put your pet or family member in danger. If your dog needs to stay on the lead or cannot do certain things (for medical or other reasons) you need to inform the photographer. If your animal is aggressive or in season you also are required to mention it to the photographer to keep everybody safe. The photographer has the right to stop the session if they are concerned about the animals’ welfare, safety or behaviour during the session (no refunds provided).


Payment for portrait session and products

Pet portrait booking fee: Full payment is required at the time of booking, the appointment can be changed up to 10 working days before the portrait session. Booking fees are nontransferable and nonrefundable. No show: If for any reason after receiving your confirmation, you fail to attend your pet portrait appointment (or do not give enough notice), you will lose your full booking fees. You are entitled to a maximum of one appointment change (up to 10 working days before the session) after which you will lose your booking fees. Products: Products are payable during your ordering session (Card / Cash). Please note your products will be ordered once the payment has cleared. Once an order has been placed during your ordering session it cannot be cancelled, amended or refunded. Products will be delivered within a reasonable timescale (up to 6 weeks from order date) once received from the supplier. You are not entitled to a refund of the portrait session if you do not wish to purchase any images. 


Refunds Your session fee can be refunded should you not like your images and not wish to keep your complimentary print and matching digital file, (when requested at the end of the viewing session). You need to attend both the Pet portrait session and the ordering session to be entitled to a refund. To receive any competition prize such as a print of a frame, you need to attend both the pet portrait session and the ordering session. In case of no show (or less than 10 days reschedule notice for the photography session & 3 working days for the viewing appointment) , the session fee will not be refunded and you will lose any gift that was included with your session. If you fail to come for your viewing & ordering appointment within eight weeks after your photography session, you will not receive any complementary products/gift. You can cancel your session up to 10 days after you have made your payment for your session fee, in this case the session fee will be refunded.


Postponement Due To Adverse Weather or a Distressed Animal.

If the appointment has to be cancelled by Zoe Meadows Photography due to adverse weather conditions a new, mutually agreed appointment will be made with no additional charge. Similarly, if Zoe Meadows feels that the animal being photographed is unwell or distressed a new mutually agreed appointment will be made with no additional charge. If Zoe Meadows feels that the animal to be photographed is being badly treated by the owner, or persons connected with the owner she reserves the right to cancel the shoot and no refund shall be given.


Photography session travelling distance

Our fees include travelling expenses up to 40 miles from the TD3 6JR postcode. Locations further away are charged at 40 pence per mile after the first 40 miles. Zoe Meadows Photography may require accommodation where the photography location is at a distance of 90 miles or greater from the TD3 6JR postcode.The cost of accommodation will be agreed in advance and expenses shall be covered by the client.


Digital Files

When the client purchase digital files the client is responsible to keep them safe and to make duplicates. Any request for additional digital image duplicates from the photographer will incur additional charges. Digital files are provided as JPEG only, edited in my style.


Ordering Session

 Products are purchased during the ordering session. You have to make sure all the decision makers are present. All sales are final. The ordering appointment can be changed (one time only) up to 3 days before the planned date. For clients that give less than a 3 day notice or reschedule more than one time, we only charge £35 if you cancel or rearrange outside of our 3 day cancellation policy. Those charges are always redeemable on product so don’t worry if you do have to rearrange last minute. The final decision over your products/images is made during the ordering session as well as payment. During the ordering session you will view the best images from your session (images that do not meet my quality control will be discarded). The number of images provided for viewing will be at the photographer’s discretion. We will charge (£50) for a second viewing if you cannot make a decision on the first appointment. If no purchase are made at the ordering appointment, we reserve the right to delete the images.


If Zoe Meadows Photography has to cancel the appointment for reasons beyond their control (death, injury, sickness, etc.), their liability shall be limited to a full refund of all monies paid.


Cameras of any kind are not permitted at our shoot.


Zoe Meadows Photography will keep your images on file for at least six months after which your images may be deleted.

In the event of any situation out of our control (corona virus, storm, fire, etc) we will postpone the sessions and reschedule.
